Club balances and cancelling bookings

9.9.2026

Dear Parent / Carer,

Some of you have asked why there is an amount on your MyChildAtSchool account, either as credit or as a debt, when you have not paid for or booked anything yet this year.

Here is the reason. When we moved from School Gateway to Bromcom over the summer, the balances came with us. Whatever sat on your School Gateway account at the end of the summer term sits on your account now. The amount itself has not changed.

If you are in credit

There is nothing to do. The money goes towards this year's sessions, and you will see the balance come down as you book.

If the account is in debt

That amount covers sessions your child has already had. We are asking you to clear it as soon as you can.

If that is difficult at the moment, contact the office. We can arrange for you to pay in instalments, and that stays confidential. We would far rather come to an arrangement, but we cannot keep the clubs running if accounts stay unpaid.

If you think the figure is wrong, let us know. We hold the final School Gateway accounts and we will go through it with you.

Cancelling a booking

Please cancel your own bookings in MyChildAtSchool. We are not able to do it on your behalf. The office does not have the staff to go back through registers and cancel bookings after a session has passed, so unfortunately, if a booking is on your account, it will have to be paid for.

  • Breakfast Club - cancel at any point up to the session, including on the morning itself. There is no notice period. The one thing we ask is that you do it yourself.
  • Clwb y Gollen - cancel at least five days ahead. We staff the club to the numbers we hold five days before the session, so after that point the session stays on your account whether your child comes or not.
  • If your child is ill - you need do nothing. You do not need to tell the club about illness, we will see it on the register. You get a credit for the session.

Diolch yn fawr,

Gwyn Pleming
