Dear Parents and Carers,
From Wednesday 2 September, Clwb y Gollen bookings move to MyChildAtSchool (MCAS), the same app you use for school information. School Gateway closes at the end of this term. This letter explains how to book, pay and manage sessions in MCAS.
Before you book
You need an MCAS account. If you have not set yours up, or you cannot log in, contact the school office and we will send a fresh invitation. In the app store, search for "MyChildAtSchool", not "Bromcom". You can also book on the website: www.mychildatschool.com.
How to book
- Log in to MCAS.
- Choose your child, open Clubs and select Clwb y Gollen.
- Tick the dates you want.
- Pay by card at the checkout.
Each session costs £7. MCAS confirms your child's place once your payment goes through. Your bookings stay visible in MCAS, so you can check them at any time.
A change to how you pay
This is the biggest change from School Gateway. Under the old system you booked first and paid later. In MCAS, you pay for each session at the moment you book it. There are no invoices to follow and nothing to settle at the end of the month. What you have booked is always paid for.
If paying at the point of booking causes you difficulty, speak to the school office in confidence and we will find a way forward with you.
Open to every family
Until now, families registered for Clwb y Gollen before they could use it. That ends in September. Any family can book any session in MCAS, including families who need the club once in a while, when something unexpected comes up.
There is another important change. There is no register of club families any more, and no standing place. If your family depends on the club each week, put your bookings into MCAS as soon as they open. A place exists when a booking exists, and not before. Spaces were available on every night last year and we expect the same, but the booking is what holds your child's place.
Bookings for the autumn term open in late August, before school starts on Wednesday 2 September. We will message you the exact date.
The five-day rule
Book at least 5 days before the session. MCAS closes bookings 5 days ahead because we arrange staffing on the numbers booked.
The same deadline applies to cancellations:
- Cancel in MCAS 5 days or more before the session and we credit your account.
- Cancel with less than 5 days' notice, or miss the session without cancelling, and you pay the full £7.
If your child is ill
If your child is absent from school on the day of a booked session, we credit the session to your account. The school register is our evidence. You do not need to phone the office or send a note.
Three children on the same night
When three children from the same family attend on the same night, the youngest goes free. If one of the three is absent, the discount does not apply that night.
A place at short notice
If something unexpected means you need a place after bookings have closed, ring the school office. We will check space and collection arrangements, and book the session from our side.
Contacting the club
Clwb y Gollen now has its own phone number: 07493 725537. Save it in your phone. Use it to reach club staff during club hours, for example if you are late to collect.
Club staff check messages when the club opens, not during the school day. If you send a text at lunchtime, staff read it after school. For anything urgent in the daytime, ring the school office.
